Job Description
We’re looking for someone to join our team in Warsaw as an Board Assistant & Junior Talent Acquisition Specialist, supporting the Eastern Europe Region. This role combines two key areas: providing high-quality assistance to the Regional Managing Director and Regional Board, and strengthening our HR recruitment operations by sourcing and managing the early stages of the hiring process. Responsibilities:
Management Board Assistance
- Provide day-to-day administrative and organizational support to the Regional Managing Director (RMD)
- Manage calendars, schedule meetings, coordinate agendas, and organize travel.
- Support preparation of Regional Board meetings, leadership sessions, and key events.
- Prepare presentations, meeting materials, and follow-up notes.
- Maintain smooth communication between the RMD, internal stakeholders, and external partners.
Meeting & Information Management
- Organize workshops, offsites, leadership meetings, and business reviews.
- Prepare meeting minutes, track follow-up actions, and monitor deadlines.
Recruitment & Talent Acquisition
- Prepare job descriptions and job advertisements together with hiring managers.
- Publish and manage job postings (SmartRecruiters, LinkedIn, external portals).
- Act as SmartRecruiters Administrator for the region.
- Conduct proactive candidate sourcing (LinkedIn Recruiter and other platforms).
- Recommend sourcing strategies tailored to each role.
- Conduct first interviews and screening calls.
- Coordinate recruitment steps to ensure a seamless candidate experience.
- Prepare recruitment reports and updates.
Employee Engagement
- Organize Employee engagement events.
- Support for company-wide campaigns and cultural initiatives.
Qualifications
Education & Experience
- Bachelor’s degree in Business Administration, HR, Management, or a related field
- Minimum 2–3 years of experience in HR support, recruitment, executive assistance, or a coordination/office management role.
- Proven experience managing multiple stakeholders and supporting leaders or cross-functional teams.
- Hands-on experience with recruitment processes, sourcing tools, and ATS systems.
Skills & Competencies
- Ability to manage multiple priorities, deadlines, and requests in a dynamic, fast-paced environment.
- Excellent organizational and coordination skills.
- Strong communication skills and the ability to build trusted relationships across teams and functions.
- Proficiency in MS Office (Excel, PowerPoint).
- Understanding of recruitment processes and candidate experience best practices.
- Knowledge of LinkedIn Recruiter is a strong asset.
- Ability to quickly learn new systems/tools.
- Self-driven, reliable, and capable of working independently while maintaining high service standards.
- Fluency in English and Polish (written and spoken)
